Reporting Process
1. Notification to Supervisors/Managers:
All staff members are obligated to immediately notify their Supervisors or Operational Directors (SOMs/ODs) of any security-related incidents. This includes events within the premises or incidents occurring outside.
2. Submission of Incident Report:
Supervisors/Managers will be responsible for filling out the incident report using the designated E-template. Access the E-template through the following URL: Incident Report E-template.
3. Details Required in Incident Report:
Provide comprehensive details about the incident in the E-template, including the date, time, location, individuals involved, a detailed description of the incident, and any supporting evidence or documentation. Examples of security incidents include theft, such as items stolen from lockers, ensuring that all aspects of employee safety are considered.
4. Flagging to the Business:
All reported incidents, including theft cases, must be promptly flagged to the business for awareness. This ensures that relevant stakeholders are informed, facilitating a coordinated and proactive response.
5. Incident Tracker and Official Report:
Once the incident is reported and flagged, it will be recorded in the organization's incident tracker. Simultaneously, an official incident report will be generated, encompassing the details provided in the E-template.
6. Further Action and Remedy:
The information gathered through the incident reporting process, especially in cases of theft, will be utilized to initiate further actions and implement appropriate remedies. This may involve collaboration with the IT department, security teams, or other relevant stakeholders to address and mitigate the impact of the incident.
